We are seeking an organized, proactive, and customer-focused Dispatch Coordinator to join our fast-paced warehouse team. As the key link between our warehouse operations, sales team, couriers, and customers, you’ll play a vital role in ensuring smooth and timely dispatch of goods while maintaining a high standard of service.
Key Responsibilities:
Customer Service: Respond promptly and professionally to customer queries regarding orders, deliveries, and freight status.
Freight Coordination: Book freight for outgoing deliveries, including liaising with transport providers and arranging same-day or overnight couriers.
Sales Support: Work closely with the sales team to provide accurate freight quotes and delivery options for customer orders.
Route Planning: Plan and optimize local truck delivery routes to ensure timely and cost-effective delivery schedules.
Documentation: Prepare dispatch paperwork, including consignment notes, manifests, and proof of delivery forms.
System Updates: Accurately update internal systems and freight portals with delivery and tracking details.
Problem Solving: Resolve delivery issues or delays by coordinating with relevant internal departments and external freight providers.
Inventory Coordination: Work alongside the warehouse team to ensure accurate order picking, packing, and stock levels for dispatch.
Compliance & Safety: Ensure all dispatch activities adhere to company policies and safety regulations.
What You’ll Bring:
Previous experience in a dispatch, logistics, or transport coordination role (warehouse environment preferred)
Strong communication and customer service skills
Ability to manage multiple priorities and stay calm under pressure
Competency in logistics software, freight portals, and Microsoft Office Suite
Familiarity with local and national freight providers and delivery scheduling
High attention to detail and strong organizational skills
A team-player attitude with a proactive approach to problem-solving
