S&A Law is seeking a reliable, detail-focused Legal Secretary to join our busy Sydney practice. We are a boutique law firm with a strong focus on litigation, commercial, and intellectual property law. This is a full-time position supporting the principal lawyer and legal team with high-quality administrative, secretarial and organisational support.

In addition to core legal secretarial responsibilities, the role includes assisting with accessibility arrangements to support our principal lawyer, who uses a wheelchair. Flexibility within the span of hours 7:00 am to 6:30 pm, Monday to Friday is essential, as daily requirements may vary depending on court and client commitments.

Tasks & responsibilities

  • Prepare, format, and proofread legal documents and correspondence including contracts, court forms, and client letters, ensuring accuracy and adherence to procedural requirements
  • Take and transcribe dictation when required, and assist with editing and document collation
  • Manage the principal lawyer’s diary, including scheduling client appointments, court dates, and coordinating accessible travel and meeting arrangements
  • Arrange and facilitate in-person and virtual meetings, ensuring the principal lawyer has access to necessary materials and accessibility tools or devices to support full participation
  • Liaise with clients, counsel, courts, and external parties in a professional and timely manner to obtain or provide required information
  • Respond to incoming calls and emails, redirect enquiries appropriately, and support day-to-day communication across the firm
  • Maintain and update electronic and paper-based filing systems, ensuring accurate records are kept and confidentiality is maintained at all times
  • Assist in the preparation of meeting materials, client file notes, reports, and case summaries
  • Manage incoming and outgoing mail, scanning, document filing, and general file management tasks
  • Support administrative functions such as invoicing, basic bookkeeping tasks, and coordinating office supplies and systems
  • Provide practical support to, and assist with the personal care needs of, the principal lawyer in the workplace where needed (e.g. including attending court and external venues with him)
  • Undertake other administrative and secretarial duties as directed, in support of the legal team and broader practice operations

Qualifications & experience

  • Certificate III or IV in Legal Services or equivalent practical experience in a legal secretarial role
  • Strong understanding of legal procedures and document preparation
  • Familiarity with legal software, such as, ActionStep and NetDocuments
  • Familiarity with disability access provisions in the NSW legal system, including courts and tribunals
  • Willingness to assist with personal care needs of the principal of the firm. A prior disability care worker background would be helpful for this role, but is not essential
  • Current driver’s licence required, as travel coordination and support are part of the role
  • Excellent written and verbal communication skills, high attention to detail, and strong organisational abilities
  • Ability to work independently and manage competing deadlines in a busy legal environment
