About the Role
Are you highly organized, detail-oriented, and ready to play a key role in supporting a busy team? We’re looking for a proactive office administrator to join our team and help keep our operations running smoothly.
As an Administration Assistant, you will be responsible for delivering a range of administrative and office support services to ensure the effective and efficient operation of our day-to-day activities. You’ll be supporting various teams, managing routine office tasks, and contributing to a positive and professional work environment.
Key Responsibilities
Provide day-to-day administrative support to Project Managers and the broader team, ensuring tasks are completed accurately and on time
Assist in preparing and formatting a variety of documents including specifications, reports, tenders, and proposals
Perform general administrative duties such as filing, photocopying, scanning, archiving, and document control
Manage and update templates, including NATSPEC specifications
Liaise professionally with clients, suppliers, and external organisations via phone, email, and in person
Ensure the efficient coordination of project timelines, communication, and resource tracking
Support continuous improvement by identifying and implementing more effective processes and tools
Assist with quality, safety, and environmental compliance in line with Meinhardt’s Integrated Management System (IMS)
Participate in internal and external training to build professional capability
Actively support and contribute to a safe and positive team environment
About You
Skills and Experience
Demonstrated experience in a similar administration or document control role
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); advanced skills desirable
Strong organisational and time management skills with the ability to prioritise and meet deadlines
High level of attention to detail and accuracy in document formatting and data entry
Experience preparing tenders, proposals, and capability statements (preferred)
Basic numeracy or experience in financial administration is an advantage
Excellent written and verbal communication and interpersonal skills
Ability to take initiative, show professional judgement, and follow through on tasks
Strong teamwork and collaboration skills across multiple stakeholders
A proactive and solutions-focused mindset with a desire for continuous improvement
