About the Role

Are you highly organized, detail-oriented, and ready to play a key role in supporting a busy team? We’re looking for a proactive office administrator to join our team and help keep our operations running smoothly.

As an Administration Assistant, you will be responsible for delivering a range of administrative and office support services to ensure the effective and efficient operation of our day-to-day activities. You’ll be supporting various teams, managing routine office tasks, and contributing to a positive and professional work environment.

Key Responsibilities

  • Provide day-to-day administrative support to Project Managers and the broader team, ensuring tasks are completed accurately and on time

  • Assist in preparing and formatting a variety of documents including specifications, reports, tenders, and proposals

  • Perform general administrative duties such as filing, photocopying, scanning, archiving, and document control

  • Manage and update templates, including NATSPEC specifications

  • Liaise professionally with clients, suppliers, and external organisations via phone, email, and in person

  • Ensure the efficient coordination of project timelines, communication, and resource tracking

  • Support continuous improvement by identifying and implementing more effective processes and tools

  • Assist with quality, safety, and environmental compliance in line with Meinhardt’s Integrated Management System (IMS)

  • Participate in internal and external training to build professional capability

  • Actively support and contribute to a safe and positive team environment

About You

Skills and Experience

  • Demonstrated experience in a similar administration or document control role

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); advanced skills desirable

  • Strong organisational and time management skills with the ability to prioritise and meet deadlines

  • High level of attention to detail and accuracy in document formatting and data entry

  • Experience preparing tenders, proposals, and capability statements (preferred)

  • Basic numeracy or experience in financial administration is an advantage

  • Excellent written and verbal communication and interpersonal skills

  • Ability to take initiative, show professional judgement, and follow through on tasks

  • Strong teamwork and collaboration skills across multiple stakeholders

  • A proactive and solutions-focused mindset with a desire for continuous improvement
