About The Role:

We are looking for an office administrator to join our established Sunbury psychology practice for a period of 6 months to cover maternity leave. There is the potential for the right candidate to remain with us on a part-time or full-time basis following the 6 month period. 

Our office is a busy psychology clinic, focused on providing the highest quality of health care services for our clients. As the face of the business, you will be responsible for welcoming clients in a warm and friendly manner and providing them with an excellent customer experience.

We are currently looking for a capable Office Administrator to oversee the day-to-day running of the clinic and administrate our team of seven psychologists. This role will suit a person with strong managerial experience, who is open, empathic and non-judgmental and can provide support and coordination to a team. The ideal candidate will have proven time management skills, ability to priortise, problem solve and the ability to muti task.

The ideal candidate would have experience of administrating a medical practice and be familiar with using EFTPOS/HICAPS, using Halaxy Practice Software, an understanding of Medicare rebating. A qualification in business administration will be highly regarded. They would also be able to ensure the psychology practice remains financially sustainable (e.g. checking invoices have been paid), with support from our Business Manager, whilst delivering excellent customer service. 

The ideal candidate would also feel confident in making key administration decisions and oversees day-to-day practice operations. 

They would also be able to demonstrate an understanding of some of the professional requirements in handling patient confidentiality and risk. 

Responsibilities:

  • Welcoming clients and helping them to feel comfortable by offering beverages and creating a warm and accepting environment. 

  • Coordinate office activities and operations to secure efficiency and compliance to company policies/procedures.

  • Manage agendas/diaries/client appointments for the team.

  • Manage phone calls and correspondence (e-mail, letters, packages etc.).

  • Support budgeting and bookkeeping procedures and liaise closely with the business manager.

  • Create and update records and databases with personnel, financial and other data.

  • Track stocks of office supplies and place orders when necessary.

  • Submit timely reports and prepare presentations/proposals as assigned.

  • Assist colleagues whenever necessary.

  • Interact with clients and provide excellent customer service.

  • Manage client records and IT system.

  • Implement workplace procedures.

  • Liaise with psychologists to ensure they have necessary support.

  • Oversee daily practice operations, including appointment scheduling, billing procedures, debt collections

The ideal candidate would be able to demonstrate their abilities in the following areas:

  • Can work autonomously as well as part of a team 

  • Sound knowledge of Medicare fee codes

  • Proven experience within medical centers /healthcare area

  • Strong knowledge of IT & software systems (preferably Halaxy)

  • Excellent verbal and written communication skills (competent with Microsoft Word and Excel)

  • Proven abilities in multi-tasking, time management, problem solving

  • A strong work ethic is essential

  • Demonstrate good initiative

  • A professional approach at all times

  • Friendly and empathetic personality

  • Ability to follow admin processes
