About the role
This position is based in High Wycombe. This position reports to the REEF Group’s Operations Manager, and will be responsible for, but not limited to:
1. Schedule Management:
- Develop and maintain efficient transportation schedules for everyday fleet operations.
- Coordinate with drivers to assign everyday routes and monitor their progress to ensure on time delivery.
- Adjust schedules as necessary in response to delays, cancellations, or changes in demand.
- Identify and resolve scheduling conflicts and transportation issues as they arise.
- Monitor, record, communicate to customer any extra charges/ futile charges or charges for additional time.
2. Fleet Coordination:
- Monitor vehicle availability and ensure optimal utilization of the fleet.
- Collaborate with maintenance team to schedule vehicle servicing, repairs, and inspections.
- Work proactively to minimize disruptions to service and ensure customer satisfaction with promptly communication.
- Keep track of all additional charges to invoice customers accurately and promptly.
3. Route Optimization:
- Analyse routes and develop strategies to improve efficiency and reduce transportation costs.
- Forward planning to optimize delivery routes and schedules if possible.
4. Customer Management & Communication:
- Communicate any changes in schedules or routes to relevant stakeholders/customers promptly including but not limited to delays, additional charges, or estimated time of delivery.
- Resolve customers inquiries, feedback on charges and or issues with jobs.
- Look out for extra works or make cold calls to customers if required.
- Support client service team in dealing with customers if required.
5. Compliance Management:
- Ensure all transport operations comply with company policies, industry regulations, and safety standards: Chain of Responsibility requirements, Fatigue Management, Mass Management, Load Restraint, and all aspects of the WAHVR.
- Ensure all drivers / subcontractors used have been appropriately reviewed in accordance with contractor management procedures, overseeing fleet licensing requirements / allocation / permits.
- Ensure all drivers have all correct induction before entering customers’ sites if required.
6. Data Analysis and Reporting: (when required)
- Collect and analyze transportation data to assess performance metrics.
- Prepare regular reports on fleet operations, including delivery times, fuel consumption, and other key performance indicators if any.
- Effective, timely and accurate reporting of all incidents related to our assets or customers’ assets.
7. Driver Management & communication
- Serve as the primary point of contact for drivers and dispatchers regarding scheduling and routing issues.
- Manage drivers effectively with their break time.
- Provide admin personnel accurate records of driver hours if required.
- Communicate with drivers in respectful manner.
