Position Overview:

We are looking for a committed and detail-focused individual to manage different operational tasks within our organisation for a casual position ( at least 4 days a week). This position involves relationship management, warehouse operations, logistics coordination, customer service, and administrative support. The ideal candidate will demonstrate strong organisational skills, the ability to work across multiple departments, and a passion for delivering excellent service to both internal and external stakeholders. The correct candidate will also have the opportunity to transition to a full-time position based on performance and business needs.

Key Responsibilities:

Relationship Management

  • Build and maintain positive relationships with colleagues across different departments to encourage effective communication and teamwork.

  • Develop and nurture strong relationships with external stakeholders, including suppliers and clients, ensuring smooth operations and timely resolution of any issues.

Warehouse Operations

  • Oversee stock management processes including regular stocktakes, inventory control, and ensuring optimal stock levels to prevent shortages or overstock situations.

  • Manage the ordering process by forecasting future stock requirements based on sales trends and historical data to maintain accurate inventory levels.

  • Handle procurement processes ensuring timely and cost-effective purchasing of goods and materials.

Order Processing

  • Accurately process and manage orders using Shopify, assisting with product assembly and ensuring timely order delivery.

Logistics Coordination

  • Coordinate all aspects of freight and logistics, including scheduling shipments, tracking deliveries, and resolving any logistics-related issues to ensure on-time delivery.

Equipment Maintenance

  • Ensure all equipment is cleaned and sterilized in compliance with industry standards to maintain a safe and hygienic working environment.

Record-Keeping

  • Maintain accurate and detailed records related to inventory, orders, and client interactions.

  • Handle client invoices (both outbound and inbound), ensuring timely and accurate reconciliation and follow-up.

  • Regularly check and action work emails, follow up on inquiries and quotes, and ensure timely communication with clients and team members.

Collaboration with Other Departments

  • Work effectively with remote teams, ensuring communication and collaboration across different locations to meet overall operational goals.

Customer Service

  • Provide high-quality customer service through phone, email, and live chat, addressing inquiries, resolving issues, and providing tailored product advice.

  • Resolve customer complaints in a professional and efficient manner to ensure high levels of customer satisfaction.

Administrative Support

  • Assist with administrative tasks including managing work emails, uploading documentation, data entry, and invoice management (both outbound and inbound reconciliation).

  • Follow up on client inquiries, quotes, and ensure timely responses.

Order Fulfillment

  • Monitor stock levels, order statuses, and delivery performance, providing regular updates and reports to management as required.

  • Identify opportunities for process improvements and efficiency enhancements in warehouse operations and customer service functions.

Key Skills & Qualifications:

  • Strong communication and relationship-building skills.

  • Proven experience in warehouse operations, logistics, or a related field.

  • Familiarity with Shopify and order management systems.

  • Excellent organisational and time management skills.

  • Ability to work independently and as part of a team.

  • High level of attention to detail and problem-solving ability.

  • Previous customer service experience is a plus.
