Arncliffe Auto Body and Arncliffe Car Repair Services (ACRC ENTERPRISES PTY LTD) are seeking an experienced Office Manager to oversee daily administrative operations and act as the crucial link between customers, insurance providers, and workshop technicians. This role manages the full administrative workflow of a busy smash repair facility, ensuring efficient repair coordination, compliance, and financial accuracy.

Task & responsibilities
- Oversee daily administrative operations of the smash repair workshop; organise, maintain, and improve office systems, procedures, and daily operations
- Manage customer service functions; schedule assessment appointments, greet customers, provide repair updates, generate detailed repair reports, and handle enquiries in person, by phone, and via email
- Coordinate with insurance companies: process claims, negotiate with insurance assessors, explain repair requirements, manage repair orders, and finalise billing to ensure timely payment
- Update repair management software (Audanet, Audawatch) daily to reflect real-time status of all work-in-progress vehicles
- Coordinate workshop workflow: schedule vehicle intake, assign work to technicians (panel beaters, spray painters, dismantlers), and oversee parts procurement (Partscheck) to ensure deadlines are met
- Manage financial administration: audit repair orders comparing estimates against invoices, process accounts payable/receivable, and manage billing and invoicing cycles
- Ensure compliance with workplace health and safety (WHS) standards, manage hazardous waste documentation, and maintain safe administrative and workshop environment
- Supervise and coordinate office staff; ensure office equipment and supplies are maintained and relevant government legislation is followed
- Prepare detailed cost estimates using estimating systems (Auto-Quote, Estimage) by analysing damaged vehicles for structural, mechanical, and body issues
- Liaise effectively between technical staff and external stakeholders, interpreting repair requirements and ensuring clear communication of technical information
- Maintain accurate records of contracts, purchasing, transportation of parts, and other administrative documentation
Qualification & experience
- Minimum 3 years' experience in office management, preferably within smash repair, automotive, insurance, or heavy industrial sectors
- Demonstrated proficiency in repair management software and estimating systems (Auto-Quote, Estimage, Audanet, Moneyworks, Partscheck)
- Solid technical understanding of smash repair techniques, paint mixing process, and vehicle components
- Strong knowledge of WHS regulations, hazardous waste management, and environmental compliance in automotive workshop environments
- Proven experience managing accounts payable/receivable, financial auditing, and contract administration (insurance claims processing)
- Exceptional organisational skills with demonstrated ability to manage multiple fast-paced projects simultaneously and meet strict deadlines
- Excellent verbal and written communication skills; ability to liaise effectively between technical staff, customers, and insurance assessors
- Bilingual capabilities in Russian and English highly regarded (reflecting diverse client base)
- Current driver's licence and right to work in Australia
